Frequently Asked Questions for EndNote X3
It is a good idea to back up your library whenever you make changes. You don't want all your hard work disappearing. There are two ways of backing up your library:
- Use the Save a Copy command to create an exact copy of your library.
- With a library open, choose Save a Copy from the File menu.
- Name the new library and choose where to save it.
- Click Save and EndNote creates a copy of the library.
- EndNote leaves your original library open as it was before the command was chosen.
- Note: The Save a Copy command creates a .enl file as well as a .data folder for the new library with the name you gave it. Both the .enl file and the .data folder are necessary and need to be kept together.
- Use the Compressed Library command to backup your library.
- From the File menu, select Compressed Library (.enlx) and accept the defaults (Create; With File Attachments; All References in Library).
- Click Next
- Use the file dialog box to save the EndNote Compressed Library (filename.enlx) where you want to keep it.
- The new .enlx file will have the same name as the library you were backing up. The .enl file and the .data folder are now combined in the .enlx file.
- To open it just open EndNote and choose Open from the File menu and click on Open Library, then select the .enlx file.
- Note: EndNote libraries larger than 4 gigabytes or that contain more than 65,535 files cannot be compressed with EndNote's Compressed Library commands. Use the Save a Copy method to backup EndNote Libraries of this size.
If your text looks weird (see example below), then you probably have Word's Field Codes turned on:
Turn off Word's Show Field Codes.
- While in the Word document, click on the Quick Access Toolbar (symbol on the top left corner).
- Choose Word Options at the bottom of the box.
- In the Word Options window that opens, click on Advanced from the left hand options.
- On the right hand side scroll down until you get to the section labeled Show document content.
- Uncheck the box for Show field codes instead of their values.
- Click OK.
- Note: Turning off Show field codes instead of the values does not affect your document. It simply lets you see the document as it would print. Sometimes this option is turned on by accident by pressing quick keys like alt and F9 at the same time.
EndNote X3 offers more than 3,600 bibliographic styles for a variety of disciplines. To find the complete list of available bibliographic styles and/or to download these styles, go to the EndNote Output Styles page.
- Note: To download EndNote output styles, you must first accept their Terms of Use. If you still cannot find a specific output style, it could mean that EndNote does not have the style you are looking for. You can submit a request to EndNote to create a new output style (or the correction of an existing one) by filling out the EndNote Output Style Request Form.
With EndNote you not only can import references from article databases to your EndNote library, you can also attach the articles to the references you have imported. In order to attach files to references in EndNote, you first need to download and save the articles (in PDF files) from the articles databases to a local drive.
To attach a PDF file to a reference in EndNote:
- Select or highlight a reference in the Library window that you want to attach a file to.
- From the References menu, select File Attachments then select Attach File.
- Find the PDF file that you wish to link to the reference, then click Open.
- The file is then attached to the reference.
To open a PDF file that is attached to a reference in EndNote:
- Open by double-clicking the reference.
- Scroll down to find the File Attachments field.
- Double click a file icon to open the attached file.
- Note: You can attach almost any type of file to a reference. You can attach up to 45 different files to a single reference.
Changing your bibliography's font is relatively simple.
- Click on the EndNote tab in Word.
- On the ribbon in Word 2007 you will see a small box with an arrow in the lower right corner of the bibliography section. Click on the box.
- Then click on the "Layout" tab.
- From here you can choose your font style and size, type in a title for your bibliography, and even adjust the indentation and line spacing.

You should always check for updates and make sure you have the latest version of EndNote. Occasionally you may be forced to stay with an older version of EndNote due to operating system constraints, but you can still be sure you have gotten all the most recent updates for that version.
Updating EndNote X3 is much simpler than in previous versions of EndNote.
- Open EndNote.
- Click on the "Help" menu at the top of the window.
- Choose "EndNote Program Updates..."
The software will automatically search for new updates and if any are found you will be able to follow the on screen instructions to download and install them.

It's time to decide which version you want to download. Keep in mind these things when making your choice:
- You want to pick either EndNote or Reference Manager. Don't try to get both. They don't work well together.
- What are your colleagues using? Are you working with a team? Having the same bibliographic management tool can make collaboration easier.
- What operating system does your computer have? Windows or Mac? Old or new operating system? Based on your system requirements you may need an older or newer version of your chosen bibliographic management software. System requirements are listed on the download page for each version of the software. Most people will want to get the newest version.
